Can't see all staff while creating a schedule?
If a staff member isn't appearing when you're setting up a schedule, Nabooki is most likely preventing a double-booking. This article covers the common causes and how to fix each one.
Before you start
Check the following before troubleshooting:
- Confirm the staff member has been added to Nabooki and assigned to the relevant service.
- Confirm you're setting the schedule for the correct service.
Possible causes and fixes
Cause: The staff member is already scheduled during that time
Nabooki checks for scheduling conflicts before displaying available staff. If a staff member is already assigned to another schedule during the same time period, they won't appear as an option.
To fix this:
- Go to Calendar in the left navigation menu.
- Under Staff & Resources, select the staff member's name.
- Review their bookings for the relevant day and time to identify any conflicts.
- Adjust the existing schedule or the new one to resolve the overlap.
Cause: The staff member's availability hours don't match the schedule time
If a staff member's set hours of availability don't cover the time you're trying to schedule, they won't appear.
To fix this:
- Go to Settings > Staff.
- Find the staff member.
- Review their availability hours, including any location-specific hours if they work across multiple locations.
- Update their availability to cover the required time, or adjust the schedule time to fit within their current hours.
Cause: The staff member isn't assigned to the service
Staff must be assigned to a service before they can appear when setting a schedule for it.
To fix this:
- Go to the Service > Staff & Resources tab.
- Check that the staff member is listed under Staff Assignment for that service.
- Add them if they're missing, then return to set the schedule.
⚠️ Warning: If you've worked through all the steps above and the staff member still isn't appearing, contact Nabooki support — don't keep retrying, as repeated attempts may cause unintended changes to your schedules.The system has built-in logic that checks for the availability of the assigned staff and resources before it allows a schedule to be created. This ensures you do not double-book staff and/or resources across different schedules.
