Editing an Order as a Merchant


Merchants can edit an existing booking within an order without cancelling and recreating it. This keeps the original booking history intact while letting you update the date, time, staff/resource, or quantity directly.

How it works

Edit Order can be accessed from three places:

  1. The Orders List page, via the ellipsis (⋯) menu


  2. The Order Details page, via the ellipsis (⋯) menu



  3. Change booking on the Order Confirmation page

When opened, existing booking details are pre-populated so updates are quick to make. An Order change in progress banner stays visible throughout, with an option to cancel the changes at any point. Location and service option selections remain fixed and cannot be changed. Current service pricing is applied to any updated booking.



Editing as a Logged-in Merchant

Editing customer orders directly from your merchant profile using the embedded booking tool works a little differently from the standard customer-facing flow:

  • Cancellation policies do not restrict merchants — bookings that a customer could no longer change remain editable for you.
  • If the update results in an additional amount payable, you can select Pay later instead of taking payment immediately.
  • Booking changes and cancellations made this way are recorded in the booking history as performed by the merchant.
  • Selecting Cancel Changes, or navigating back, exits Edit Order and returns you to the merchant-facing Orders area.
  • The embedded booking tool uses a simplified layout, showing the Edit Order heading and cart icon without the standard booking tool footer.

Agent Commission on Merchant-Managed Orders

When you create or update a client order via Add Order or Edit Order, the Agent Commission box appears for eligible client orders, using the same commission handling available when an agent manages the order directly.



Editing Orders with Ineligible Services

Edit Order can be opened for any order, even one containing services that aren't eligible to be changed. All bookings stay visible in the Order summary, but the following booking types are locked from editing — they keep their existing details and pricing, and the Edit option simply isn't shown:

  • Multi-session bookings
  • Booking-request services — locked even once the request has been confirmed
  • Waitlist services — services that create a request when capacity is full
  • Large-group request services

Availability Checks

When viewing available dates and timeslots for an edit, the capacity already occupied by the booking being edited is taken into account correctly. This allows quantity to be increased where capacity allows, without the existing booking artificially reducing the availability shown.

Checkout Changes

Payment details & totals — Amount Paid, Amount Due, and Payable Now are recalculated automatically as quantities, prices, discounts, or commission change. If an edit requires additional payment, the available payment options and amount owed are shown; if not, you can simply confirm.

Order summary & booking validation — Existing booking details load directly from the original order and respect each booking's cancellation policy. If a service or pricing option is no longer available, the affected booking stays visible but can't be edited; eligible items can still be removed.

Promo code validation — Existing promo code discounts are retained during editing and can't be manually removed. If a modified booking is no longer eligible for an applied code, the discount isn't silently dropped; validation runs both when the booking is updated and again at checkout.

Customer, custom field & participant details — Customer details, comments, participant details, and custom field values are restored from the existing order, and reflect the service's current configuration (new fields appear, removed fields don't).

Participant details with quantity changes — Increasing quantity adds new participant sections automatically; decreasing quantity trims participant details to match.

Confirming Changes

Selecting Confirm validates only the new or edited bookings — unchanged bookings aren't revalidated and won't block the order from being updated.

On save, Nabooki updates:

  1. Bookings and service details
  2. Customer details and order comments
  3. Participant information and custom fields
  4. Prices, totals, and invoice information
  5. Agent commission, where applicable

Changes to a booking's date, time, location, option, or quantity replace the original booking while preserving booking history. Changes to customer details, comments, or custom fields update in place without replacing the booking.

Applicable booking change or cancellation emails are sent automatically, and booking history is recorded. Once saved, you're redirected to the Order Details page with a success message, reflecting the latest customer information, bookings, invoice, and order totals.

Past Bookings

Customers are blocked from editing bookings once they're in the past, under a No limit cancellation policy, shown with the message: "This item cannot be changed."

As a merchant, you are not restricted by cancellation policy and can still see the Edit option for past bookings, though Edit may still be unavailable for other reasons, such as an invalid or otherwise ineligible booking.


Troubleshooting & FAQs

Why can't I see an Edit option on one of my bookings?
That booking likely belongs to an ineligible service type (multi-session, booking-request, waitlist, or large-group request), or its service/pricing option has changed since the original booking. 

Why did the price change when I edited my booking?
Edit Order always applies the service's current price, not the price at the time of original booking.
Why was my promo code removed after I changed a booking?
The modified service may no longer be eligible for that code. Nabooki checks this both when you update the booking and again at checkout.

Can I still edit a past booking?
Not as a customer, once the booking's start time has passed, unless your account has a more flexible cancellation policy. Authorised merchant users can still edit past bookings in most cases.
