How to Assign Two or More Staff Members for a Service


Assigning multiple staff members to a single service is useful when:

  • A service requires two or more staff to be available at the same time, such as a couples massage or tandem personal training session.
  • A service can be provided by multiple staff members, allowing customers to select their preferred provider or be automatically assigned based on availability.

💡 How It Works:

  • The system will check for the availability of all assigned staff members when a booking request is made.
  • The booking widget will only show available time slots where all required staff members are free.

Step 1: Access the Service Settings

1️⃣ Click Inventory from the left-hand menu.
2️⃣ Select
Services and locate the service you want to modify.
3️⃣ Click the
Action menu (•••) > Edit to open the service settings.
4️⃣ Navigate to the
Staff & Resources tab.


Step 2: Assign Multiple Staff Members

1️⃣ Click + New Staff to add staff members who can provide this service or select the required staff from the dropdown list.
2️⃣ If customers should see and select their provider,
deselect the option "Staff names not visible to customers".
3️⃣ Press
Update to save.

✅ If multiple staff members are assigned, the system will only display time slots where all required staff members are available.

📌 Important Considerations:

  • For services requiring multiple staff members at the same time, ensure each required staff member is selected.
  • For optional staff selection, you can allow customers to choose from available providers at the time of booking. 
  • If both a staff member and a resource (e.g., equipment or a room) are required, ensure both are assigned and available.




Step 3: Adjust Availability & Scheduling

1️⃣ Click Availability to define how the service is scheduled.
2️⃣ Ensure that schedules align with all assigned staff members’ availability to prevent booking conflicts.
3️⃣ Click Update to save changes.

💡 Example: Couples Massage

  • A spa offers a couples massage, which requires two massage therapists per booking.
  • The service is configured to require two staff members before a booking can be confirmed.
  • If only one therapist is available, the booking tool will not display that time slot to customers.

Troubleshooting & FAQs

Why are timeslots not appearing in the booking widget?
Check that all staff assigned to the service have matching availability in the Calendar.
Can I assign both staff and resources to a service?

Yes, but at least one staff member and one resource must be available from the assigned staff and resources for the booking to be accepted.

Can customers choose their preferred staff member?

Yes, if the option "Staff names not visible to customers" is unchecked. Otherwise, the system will automatically assign an available staff member.

What happens if one of the assigned staff members is unavailable?

The time slot will not be available for booking unless all required staff are free.

Can I limit the number of staff members assigned per booking?

Yes, but the system will always require at least the minimum number of staff needed to fulfill the service.
