How to Change Your Booking Capacities


Booking capacities determine the minimum and maximum number of customers who can book a service at a time. Adjusting these settings allows you to:

✅ Limit or expand the number of customers per session.
✅ Ensure your business operates within its resource or space constraints.
✅ Prevent overbooking or underutilisation of services.

Follow the steps below to adjust booking capacities for your services.


Method 1: Adjust Capacity for a Particular Session


Step 1: Locate the Session

1️⃣ Log into your Nabooki account.
2️⃣ Click Schedule from the left-hand menu.
3️⃣ Select Calendar to locate the session that needs adjusting.
4️⃣ Click on the scheduled session to open the booking details.


Step 2: Edit Session Capacity

1️⃣ Click the Edit Capacities button.
2️⃣ A window will open displaying:

  • Regular booking capacity (standard bookings)
  • Promotional booking capacity (if applicable)
3️⃣ Enter a value in the space provided to adjust the number of available spots.
4️⃣ Click Update to save the changes.

✅ The new capacity will apply only to this session.



Method 2: Adjust Capacity for All Scheduled Sessions of a Service

Use this method if you want to change the default booking capacity for all sessions of a service.

Step 1: Access Service Settings

1️⃣ Click Inventory from the left-hand menu.
2️⃣ Selecte Services and locate the service you want to adjust.
3️⃣ Click the Action menu (⋮) next to the service name.
4️⃣ Select Edit to open the service settings.


Step 2: Adjust the Default Capacity

1️⃣ Ensure you are on the General tab.
2️⃣ If your service allows group sessions (e.g., a class), select Multiple Bookings.
3️⃣ A new field will appear where you can enter the maximum number of participants per session.
4️⃣ Click Update to save your changes.

✅ All future sessions for this service will now use the updated booking capacity.




Notes
When you change the capacity for your regular bookings, your promotional bookings will also be changed since they are "based-off" your regular bookings.

Troubleshooting & FAQs

Will existing bookings be affected if I change the capacity?
  • If you increase the capacity, more spots will be available.
  • If you decrease the capacity, existing bookings remain, but new bookings may be restricted.
  • How do I handle overbookings after reducing capacity?
  • Contact affected customers and offer alternatives (e.g., rescheduling, refunds).
  • Enable a waitlist feature.
  • Consider manually adjusting bookings.
  • Can customers see real-time availability based on capacity?
    Yes, as long as this feature is enabled on the service offered which will automatically adjust slots as bookings are made.
