How to Create Recurring Bookings


Recurring bookings allow you to schedule multiple future appointments for a customer at regular intervals, such as weekly or fortnightly bookings. This feature helps streamline repeat appointments without having to manually add each session.


📌 Key Information About Recurring Bookings:

  • Works for both scheduled and non-scheduled services.
  • Applies to both regular and fine-tuned schedules.
  • Recurring bookings will always be for the same day, time, staff, resource, location and service.
  • Available for both session-based and non-session services.
  • All bookings in the series will have the same status as the main booking (Confirmed or Pencilled-in).
  • A single notification (via email, SMS, or both) is sent for the entire booking series rather than for each individual booking.

This feature is currently not supported if you are using QuickBooks integration.

How to Create a Recurring Booking

1️⃣ Go to Schedule > Calendar from the left-hand menu.
2️⃣
Select a date in the calendar and click on an available timeslot or an existing schedule.
3️⃣ In the booking window,
enter customer details (or select an existing customer).
4️⃣ Select a
Repeat option from the dropdown (weekly or fortnightly)
5️⃣ Enter a value 
in the “Number of times” field to set the number of repeats for this booking series.
6️⃣ Select Add Booking to finish.

The recurring bookings are now added to your calendar.


Once you have added the relevant booking details and clicked on the Add Booking button, recurring bookings will be automatically created.
You will be able to verify the successful creation of your bookings on the following screen, which will list the dates of all bookings created in the background.

If no schedules are available for the selected recurrence, you will receive a message stating that no suitable timeslots were found.

Please note, that if you are creating a booking for 2 or more people at the same time, the system will allow you to exceed the remaining capacity of the schedule. In other words, if a schedule has a remaining capacity of at least 1, then it will allow the creation of a recurring booking against it.  

Troubleshooting & FAQs

Can I create a recurring booking across different staff members or times?

No, all bookings in the series must be for the same day, time, staff, resource, location, and service.

What happens if a schedule does not exist for a future booking?

That particular booking will not be created, and a notification will alert you of the issue.

Will customers receive multiple notifications?

No, customers will receive only one notification covering the entire booking series.

Can I apply a discount or promo code to all bookings in a recurring series?

No, any voucher or promo code will only apply to the first booking in the series.

Can I edit an individual booking in a recurring series?

Yes, each booking in the series can be modified individually. Changes to one booking do not affect the rest of the series.
