How to make recurring bookings via Calendar


  • The recurring bookings feature is applicable for scheduled and non-scheduled bookings.

  • It works on both regular and fine-tuned schedules, allowing you to add bookings in bulk with weekly or fortnightly recurrence. 

  • The system will automatically locate relevant schedules when creating the recurrence - these schedules will always be on the same day & time, for the same staff & resource, and for the same location & service. (This is applicable for scheduled bookings)

  • The feature works for both session and non-session services. 


This feature is currently not supported if you are using QuickBooks integration.

To add recurring bookings for scheduled bookings, navigate to your Calendar and click on any schedule. For non-scheduled bookings, you can navigate and click the column for the preferred start date and time.


In the pop-up menu, click Add booking
  
 
In the Add booking window, you will see an option Repeat. Select your recurrence frequency (weekly or fortnightly), and then select the value in the “Number of times” field. This number of times includes the first booking you are adding. Therefore, if you wish to create 10 bookings in total - select “10” within the “Number of times” field.


Once you have added the relevant booking details and clicked on the Add Booking button, recurring bookings will be automatically created. You will be able to verify the successful creation of your bookings on the following screen, which will list the dates of all bookings created in the background.



If there is no availability on any specific date within the selected recurrence (e.g. the date is blocked or a schedule is closed etc), the system will automatically detect this and prevent a booking from being created a date if it’s not unavailable. You will be able to see unavailable dates on the next screen. 



Please note, that if you are creating a booking for 2 or more people at the same time, the system will allow you to exceed the remaining capacity of the schedule. In other words, if a schedule has a remaining capacity of at least 1, then it will allow the creation of a recurring booking against it.  

Additional Information

  • When the recurring bookings are created, all of the bookings in the recurrence will have the same status as the main booking (confirmed or pencilled in). 

  • We will send only one combined notification to both you and your customer by your preferred notification method (email, SMS or both), rather than a separate notification for each created booking.  

  • When a recurred booking is created, it will include the same details (including custom fields) on all bookings. A voucher or promo code, if used, will be applied to the first booking only.
