How to Set Up and Manage Resources


Resources are non-staff assets required to deliver a service, such as treatment rooms, vehicles, rental equipment, or restaurant tables.

Assigning resources ensures accurate availability management and prevents overbooking when multiple services rely on the same asset.

Step 1: Access the Resources Page

1️⃣ Go to Settings from the left-hand menu.
2️⃣ Select Resources to view the list of existing resources.

If no resources exist, click the + Add new button to create a new one.


Step 2: Add a New Resource

1️⃣ Enter the resource name (e.g., "Massage Room 1" or "Tour Vehicle").
2️⃣ Select the location(s) if you have more than one location.
3️⃣ (Optional) Add a
description and image to provide more details.
4️⃣ Deselect the checkbox
Manage Capacity if this is not required.

Click Continue to proceed.



Step 3: Configure Resource Availability

1️⃣ Select the Hours tab.
2️⃣ Define the
default availability by setting the operating hours for the resource.

📌 
Specific hours: 
It will ask you to manually set the weekly schedule from Monday to Sunday
📌 Standard Business hours: the resource will follow the location hours set in the account



 3️⃣ If required, use Fine-Tune Hours to adjust availability for specific dates. If a resource is unavailable for an extended period, apply a blockout to prevent bookings.





Step 4: Assign the Resource to Services

Resources must be linked to services to determine availability.

1️⃣ Go to Inventory > Services and click the ••• action menu next to a service.
2️⃣ Select Edit, then navigate to the Staff & Resources tab.
3️⃣ Click + Assign Resource and select the appropriate resource(s).
4️⃣ Click Update to save the changes.

Important:

  • If multiple services use the same resource, availability will be based on first-come-first-served unless configured otherwise.
  • If both staff and resources are required, both must be available for a booking to proceed.
  • Resources can be used to manage capacity for private group bookings. For example, a boat charter with a max of 8 passengers can be set up to only accept one booking but allow the customer to specify their group size.

Manage Overlapping Resource Usage

If multiple services use the same resource and cannot be booked at the same time, you can restrict overlapping schedules to avoid conflicts.

1️⃣ Go to Inventory > Services and click the ••• action menu.
2️⃣ Select
Edit, then open the Booking Preferences tab.
3️⃣ Locate
"Limit availability for overlapping schedules."
4️⃣ Select
"Yes" to ensure once the resource is booked, it blocks availability for other services using the same resource.
5️⃣ Click
Update to apply the changes.


📌 Example: A fishing tour company offers Morning, Afternoon, and Full-Day Fishing Charters, but only has one boat available. If a Morning Charter is booked, the Full-Day Charter will automatically become unavailable for that day, but the Afternoon Charter can still be booked.

Alternatively, if a Full-Day Charter is booked, both the Morning and Afternoon Charters will be unavailable, as the boat is occupied for the entire day.

✅ This feature works on a first-come, first-served basis, meaning even if only one seat out of 20 is booked, the system will automatically close the overlapping schedules to prevent double bookings.

When should I use resources?
Use resources when non-staff assets are needed to complete a service, such as rooms, vehicles, or rental equipment.
Can I fine-tune resource availability?

Yes, use the Fine-Tune Hours feature in the Hours tab to adjust availability for specific dates.

How does resource capacity work?
Resource capacity determines the maximum number of people or items a resource can accommodate. In private group bookings, only one customer can book the resource, but they can select their group size.
Can I temporarily disable a resource?
Yes, tick "This resource is not active for online bookings" in the resource settings to prevent customers from selecting it.
