Managing staff availability

In addition to creating a resources basic hours of availability, you can also define hours specific to a locations, and fine-tune hours or block-out it's availability to manage staffs on specific days. 

Before You Start:

  2. If you have staff working at multiple locations, make sure you have assigned them to each location. 


Setting staff hours for locations

Each location has it's own independent schedule. Make sure you've set availability for every location the staff member is assigned to — otherwise they may appear unavailable at certain locations.

To set staff hours by location:

  1. Go to Settings > Staff.
  2. Click the staff member's name to open their profile.
  3. Select the Hours tab.
  4. Choose a location from the top of the Hours section.
  5. Set the working hours for that location (for example, Monday–Friday, 9 AM–5 PM).
  6. Click Update to save.
  7. Repeat steps 4–6 for each location assigned to this staff member.



Fine-tuning staff hours

Fine-tuning hours lets you adjust a staff's availability for specific dates without changing its regular schedule — for example, if a staff is only available for half a day. 

The steps below cover how to fine-tune hours from the Staff Settings. If you prefer to make adjustments while browsing the calendar, you can also fine-tune day-by-day directly from the Schedule > Calendar view.

To fine-tune staff hours:

  1. Go to Settings > Staff
  2. Find the Staff you want to adjust and click the action button (•••).
  3. Select Edit.
  4. Click the Hours tab.
  5. Select Fine-Tune Hours for Specific Dates.
  6. Click the Select Dates field and choose one or more dates from the calendar.
  7. Enter the new start and end times.
  8. Click Update to save your changes.


Block-out staff

The steps below cover how to block-out from the Resource Settings. If you prefer to make adjustments while browsing the calendar, you can also blockout directly from the Calendar > Schedule view.

To block out a staff:

  1. Go to Settings > Staff
  2. Find the Staff you want to adjust and click the action button (•••).
  3. Select Edit.
  4. Click the Hours tab.
  5. Select Block Out.
  6. Choose the date or dates you want to block out.
  7. Click Update to save your changes.

Troubleshooting & FAQs

What happens if I edit fine-tuned hours after a booking has been made?

Existing bookings remain unchanged, but new bookings will follow the updated availability.

Can I apply fine-tuned hours across multiple dates at once?

Yes! Select multiple dates when fine-tuning to adjust several days simultaneously.

How do I ensure my changes have been saved?

After making adjustments, check the calendar view to confirm the updated availability.
