Booking preferences tab
The Booking Preferences tab allows you to customise how customers book, pay, and interact with your service. Let's walk through the main settings on this tab.
Before You Start:
- Make sure you have created a service - Services: Create a service
- To get to this section of service creation, go to Inventory > Services > Navigate to Booking Preference tab
- If you plan to take online payments, you'll also need a payment gateway connected. You can set this up after creating the service.
Booking Settings
- Booking cut-off Time – how close to the start time a customer can book, good for managing last-minute bookings.
- Allowable Cancellation Time – defines the deadline by which customers can
cancel or change, default is 48 hours.
- Booking Time Frame – define how far in advance a customer can book, default is 365 days.
- Booking Request Automatic Cancellation Time Frame – defines when pending bookings will be automatically cancelled if they are on request and not accepted.
If you have Multiple bookings enabled, the following options will appear.
- Enable Waitlist – allows customers to join a waitlist when the capacity is full.
- Booking requests for larger groups - allows larger groups to join by request.
- Show remaining capacity - show guest booking how many spots are left.
- Limit overlapping schedules - ensures that once a booking is made for a particular schedule, other overlapping schedules become unavailable
Payment Settings
To configure payment settings, you have to enable a payment gateway to your account.
- Accept online payments - Allows you to collect payment online at the time of the booking.
- Type of payment - Choose how much customers pay at the time of booking:
- Full Prepayment – full amount is charged at booking
- Partial Prepayment – charge 10%, 25%, or 50% upfront
- Special terms: Add a customised terms with the payment, which may be related to refund policies.
- Cancellation refunds:
- Restricted - No automatic refund will apply is the customer changes or cancels.
- Unrestricted - If they cancel within the allowable cancellation period, an automatic refund will be issued.
- Send invoice with booking confirmation - If bookings are on requests, customers will recieve an invoice when booking is accepted.
- Booking Form - allows you to collect custom field data from customers on the booking form.
- Customer Confirmation - add in custom messaging for customers to receive on the booking confirmation email.
- Booking request message - allows you to add customised message, if bookings are on request. This message is included on the booking request email.
