Understanding invoices

Nabooki automatically generates an invoice for every booking. This article explains what invoices are, how they work, and what you can do with them.

How it works















An invoice is a payment record linked to a booking. It shows the charges, any payments already made, and any outstanding balance.
Invoices are generated automatically β€” you don't need to create them manually. They appear on the booking ticket for both prepaid bookings and bookings where payment is still outstanding.

To access an invoice, open the relevant booking from your Calendar and click View Invoice on the booking ticket.


What you can do on invoices

The icon menu on the invoice, allows you to Email, Download, Print, Preview or Edit the invoice. 





Download invoice

You can save a copy of any invoice as a PDF. On the View Invoice screen, click Download Invoice and save the file to your device.













Edit invoice

If you need to update invoice details, click Edit Invoice on the View Invoice screen, make your changes, and click Save.














⚠️ Warning:  You cannot set a total or unit price lower than the amount already prepaid on a booking.

Email invoice 

You can send an invoice directly to your customer as a PDF attachment. Click Email Invoice on the View Invoice screen. The email form will open with details pre-filled β€” you can add a custom message and include up to three recipient email addresses before clicking Send.


πŸ’‘Tip: If you have a payment gateway enabled, an Include Pay Online button will appear in the email. This lets your customer complete their outstanding payment directly from the email.

Click Print Invoice on the View Invoice screen to open your device's standard print dialog. Select your printer and settings, then print.

How do I view an invoice for a booking?

Select the booking in your calendar and click the View invoice button on the booking ticket page.

Can I edit an invoice after it’s raised?

Yes, but you cannot reduce the total or unit price below any amount already prepaid.

How do I email an invoice to my customer?

Click Email Invoice on the invoice view screen, fill in the details, and click SEND.

Is the invoice automatically sent to the customer at the time of booking?

No, the customer receives a booking confirmation email automatically, but invoices must be manually sent using the Email Invoice option from the invoice view screen if desired.

Can I send the invoice to multiple email addresses?

Yes, separate each email with a comma in the recipient field.
