Using busy-time

Busy time lets you block specific hours in your calendar so customers can't book during those periods. Use it to reserve time for breaks, meetings, maintenance, or anything else that takes you off the schedule temporarily.

This article explains how busy time works and walks you through adding, editing, and removing busy time slots in your calendar.

What is busy time?

Busy time is a manual block you can apply directly to your calendar to mark a period as unavailable. When a busy time slot is in place, customers won't see that time as bookable — it overrides any open availability for that specific window.

Busy time is different from your availability settings. It doesn't change your overall schedule; it just reserves a specific slot on a specific day. This makes it useful for one-off situations where you need to step away from bookings without adjusting your broader setup.

If you manage multiple staff members or resources, busy time can be applied to individual calendars — so you can block one person's availability without affecting others.

Add a busy time slot

  1. Go to Calendar in the left-hand menu.

  2. If you manage multiple staff or resources, select the relevant staff member or resource calendar.

  3. Click the time slot in the calendar where you want to start the block.

  4. Select Busy Time in the tab at the top of the window that appears.

  5. Set the duration for how long you want the time blocked.

  6. Click Add busy time to confirm.

The blocked period will appear in your calendar. Customers won't be able to make bookings during that time for the selected staff member or resource.










Edit or remove a busy time slot

To move a busy time slot, drag and drop it to a new time in the calendar. To change its duration, click and drag from the bottom of the slot.

To remove a busy time slot, click on it to open the window and select Delete busy time. The time will immediately become available for bookings again.

📝 Note Removing a busy time slot restores availability straight away. If a customer attempts to book while you're working in the calendar, they may see the slot open up in real time




Troubleshooting & FAQs

Why aren’t my busy times appearing in the calendar?
Check that the busy time was applied to the correct staff or resource calendar. You need to select the staff/resource from the Staff & Resources located to the left of the Calendar.
Do busy times affect all services?
Busy times apply to all bookings within the blocked period but do not change your standard service availability settings.
Can I block time for specific staff members only?
Yes! If managing multiple staff schedules, ensure the busy time is assigned to the correct staff member.
