Using the Agenda view

The Agenda view gives you a chronological list of upcoming bookings, making it easy to see what's on without navigating a full calendar layout. This article explains how the Agenda view works and walks you through using it to manage your bookings.

What is the Agenda View?

The Agenda view is a list-style view in your Nabooki calendar. Instead of displaying bookings on a grid, it shows them in order by date and time — one after the other — so you can scan what's coming up at a glance.

It displays bookings across all your services, staff, and locations, with filters available to narrow down what you're looking at. It's particularly useful for businesses that prefer a simple, linear format over a full calendar grid — or for quickly actioning booking requests and waitlists without switching between views.

Booking Status Colours

Each booking in the Agenda view is colour-coded by status:

  1. Green — Confirmed booking
  2. Red — Booking request (awaiting approval)
  3. Blue — Pencilled-in booking
  4. Orange — Waitlist

The Status column also shows a count for each type, so you can see at a glance how many confirmed bookings, requests, and pencilled-in bookings you have.

Accessing the Agenda View

  1. Click Schedule in the left-hand menu.
  2. Select Agenda.

Filtering and searching

  1. Use the filter options to narrow bookings by service, location, or staff member.
  2. To find a specific booking, enter a customer name or booking reference in the search field.

Actioning a booking

  1. Locate the booking you want to action in the list.
  2. Click the arrow in the Action column.
  3. This opens the booking list page for that schedule.
  4. From the booking list page, you can:

  5. Confirm — Approve a booking request or finalise a pencilled-in booking
  6. Change — Update booking details such as the date or time
  7. Cancel — Remove the booking
  8. View Invoice — Open the billing details for the booking
  9. Resend Confirmation — Send a new confirmation email to the customer

💡 Tip: The Agenda view is a good place to check for active waitlists. If a confirmed booking cancels and you have customers on the waitlist, you can action the waitlist directly from this view.

Troubleshooting & FAQs

How do I identify schedules with unconfirmed bookings or waitlist requests?

The Agenda View includes colour-coded icons next to each schedule to indicate different booking statuses:
🟢 Confirmed bookings
🔴 Unconfirmed booking requests
🟠 Waitlisted bookings
🔵 Pencilled-in bookings

This allows you to quickly identify schedules that need action.

What does the 'Available Capacity' column show?
The Available Capacity column reflects the total remaining spots for a schedule. If the schedule is full, it will display "Full" or "{0}". If the schedule has been manually closed, it will display "Closed".
Can I make changes to bookings from the Agenda View?
Yes, clicking on any row in the Agenda View will open the booking details, where you can modify, cancel, or confirm bookings as needed.
Can I view past schedules in the Agenda View?
