How to Modify or Cancel a Booking


You can modify or cancel an existing booking directly from your calendar or booking list.
Follow the steps below to adjust a booking or remove it entirely.

Step 1: Locate the Booking

There are two ways to find the booking you need to modify or cancel:

Option 1: Use the Calendar View

1️⃣ Go to Schedule > Calendar from the left-hand menu.
2️⃣ Select the correct
date of the booking or use the search field.
3️⃣ Click on the booking you want to modify or cancel.




Option 2: Use the Booking List

1️⃣ Go to Sales > Bookings from the left-hand menu.
2️⃣ Use the search bar to find the customer or booking reference.
3️⃣ Click on the booking you want to modify or cancel and then select
View booking at the top of the sidebar that opens.




Modify a Booking

1️⃣ Open the booking details window.
2️⃣ Click Change booking to make changes.
3️⃣ Adjust the date, time, service, staff member, or other details as needed.
4️⃣ Click Update to confirm changes.

AlertIf online payments were made, additional steps may be required to adjust pricing or issue refunds.



Cancel a Booking

1️⃣ Open the booking details window.
2️⃣ Click Cancel booking.
3️⃣ A confirmation window will appear, giving you options:

  • Notify the customer (via email and/or SMS)
  • Add a cancellation reason (optional)
  • Cancel without notifying the customer

4️⃣ Click Yes to proceed.

Important:
  • Once cancelled, the booking will be removed from active bookings.
  • If payment was collected , you may need to process a refund manually.



Cancel One Booking from an Event Schedule

If the booking is part of an event schedule (with multiple bookings):
1️⃣ Go to Schedule > Calendar and select the event.
2️⃣ A list of customer bookings for that event will appear.
3️⃣ Locate the customer whose booking needs to be modified or cancelled.
4️⃣ Click the Action Menu (three horizontal dots) next to their name.
5️⃣ Select Cancel Booking or Change Booking from the menu to proceed.





Notes
Based on the cancellation policy you define, customers can edit or modify their bookings by using the link provided in the confirmation email they receive.

Troubleshooting & FAQs

Can a customer modify or cancel their own booking?
Yes, if your Booking Preferences allow changes within a certain timeframe. Customers can modify or cancel their booking via the Manage Booking link in their confirmation email.
Can I restore a cancelled booking?
Yes, use the Reinstate Booking option if the cancellation placeholder is still visible in the calendar.
Will customers be notified of the cancellation?
You have the option to send a notification either via email or SMS when cancelling a booking. Alternatively, you may also prefer not to send a notification, which is also possible.
What happens if I cancel a booking with a payment?

Refunds are not processed automatically when a booking is cancelled. If a customer is eligible for a refund, you will need to manually process it through your payment gateway.
