Understanding Resources

Resources are your assets — such as areas or spaces, rooms, equipment, or vehicles — that you can assign to services to control when those services can be booked.


How do Resources Work?

  1. Resources determine a services availability. 
  2. When a resource is assigned to a service, that service can only be booked when the resource is free. 
  3. A resource can be assigned alongside staff, if both are free than the booking can be accepted. 
  4. Resources have their own capacity, which lets you set the maximum number of participants for a session. 


Where to find Resources?

You manage resources under Settings > Resources in your Nabooki dashboard.



When should I use Resources?

  1. Rental equipment (bikes, kayaks, jet skis) 
  2. Private group tours (guided 4WD, boat tours)
  3. Areas or spaces (rooms, lanes or courts, cabins) 
  4. Vehicles (tour buses, rental cars)

Wellness Retreat Business

A wellness retreat has 4 saunas and 2 ice baths available to book. They have two offers available to book, and want to make sure your resources are not double-booked. 

Your offers:
  1. Service 1: One-hour sauna session
  2. Service 2: One-hour sauna and ice bath session
Your resources:
  1. Sauna: max resource capacity is 4 saunas, linked to Service 1 & Service 2.
  2. Ice bath: max resource capacity is 2 ice baths, linked to Service 2 only.
Three bookings come in for the same hour:
  1. 1 person books the sauna session
  2. 2 people book the sauna & ice bath session 

Nabooki automatically allocates from the available resource pool:

📝 Note: If another customer tries to book at the same hour, only a sauna-only booking is available — the sauna & ice bath combo is unavailable as all ice baths are already allocated.


📌 Example 2 - Using Staff & Resources
Kayaking tour business

A tourism business has 3 tour guides (staff) and 15 kayaks (resources). They offer both group and private kayak tours, each requiring a guide and a kayak per person.

On a single day, they have the following bookings: 
  1. A group tour for 7 people
  2. A private tour for 2 people

Nabooki automatically allocates from the available staff & resource pool:

📝 Note: If a third booking comes in, Nabooki will draw from the remaining pool and allocate accordingly — as long as enough staff and kayaks are available.
 

Troubleshooting & FAQs

When should I use resources?

Resources should be used when a service requires a physical asset to be available for bookings. This is ideal for:

  • Treatment rooms (e.g., massage, therapy)
  • Rental equipment (e.g., bikes, kayaks, jet skis)
  • Private group tours (e.g., guided 4WD, boat tours)
  • Restaurant tables (e.g., allocating tables with set capacities for reservations)
  • Vehicles (e.g., tour buses, rental cars)

Resources ensure accurate availability management and prevent overbooking.

Can I fine-tune resource availability?

Yes! You can adjust resource availability for specific dates using the fine-tune function. This is useful for temporary unavailability, such as when a vehicle is undergoing maintenance or a treatment room is closed for repairs.

How does resource capacity work?

Each resource can have a defined capacity, allowing customers to select their quantity and pay accordingly. However, unlike multiple group booking services, any remaining capacity cannot be booked by other customers when configured as a private group booking.

Example 1: Private Boat Tour
A boat resource has a capacity of six. If a customer books for two people, the remaining four spots cannot be booked by another customer.

Example 2: Restaurant Tables
A restaurant manages individual table bookings instead of just setting a total 100-person capacity for the venue. Tables are created as resources with different capacities (e.g., 2-seater, 4-seater, 8-seater), allowing for structured reservations.

📌 If a resource is fully booked, it will no longer be available for other customers until it is free again.
