How to Cancel a Class or Event When a Staff Member is Unavailable


If a staff member is unable to work and a replacement is not available, you may need to cancel a scheduled class or event.

Follow the steps below to cancel all bookings for a scheduled event and notify affected customers.

Step 1: Access the Event in Your Calendar

1️⃣ Click Schedule from the left-hand menu.
2️⃣ Select
Calendar.
3️⃣ Locate and click the
scheduled class or event that needs to be cancelled.


Step 2: Cancel the Event

1️⃣ In the event window that opens, click Cancel Event.
2️⃣ A confirmation window will appear, stating that:
🔹 All bookings will be cancelled.
🔹 Customers can be
notified imediately can via email, SMS or both.
3️⃣ Click Yes to proceed.

Alert
Cancelling an event cannot be undone. If you want to keep existing bookings but prevent further bookings, use the Close Event function instead.

Adjust Staff Availability for Future Dates

Will customers be notified when I cancel an event?

Yes, when cancelling an event, you will be given the option to notify customers via email, SMS, or both. Alternatively, you can choose to cancel the event without sending a notification.

Can I cancel a class or event without removing existing bookings?

Can I reinstate a cancelled event?

No, once an event is cancelled, it cannot be restored. You will need to create a new event and rebook customers if needed.

What happens if I remove individual bookings before cancelling an event?

If you remove bookings manually before cancelling the event, you can choose whether or not to notify each customer. Once all bookings are removed, cancelling the event will simply close it without sending notifications.

Will customers receive a refund if I cancel a paid booking?

Refunds are not processed automatically. If the booking was paid in advance, you will need to manually process a refund. 👉 How to Process a Refund

How do I remove the cancelled event/schedule from the Calendar?
Select the red rubbish icon in the event window to remove the event/schedule from your Calendar. There must not be any active bookings prior to actioning this step.
