How to Choose the Right Service Allows Option: Single, Multiple, or Private Group Bookings


When setting up your service in Nabooki, you need to select a Service Allows option. This controls how many bookings customers can make per time slot and how availability is managed. Nabooki offers three options.

A slot is defined by your service duration. For example, a 1-hour service requires a 1-hour booking slot.


Single Bookings

  • Allows only one booking per service or time slot.

  • Like an appointment system where only one customer can book each slot.

  • Once booked, that slot is fully taken and no more bookings are allowed.




Multiple Bookings

  • Supports multiple customers booking the same time slot up to a defined capacity.

  • Ideal for group classes, tours, or events where several participants can join simultaneously.

  • You set a capacity limit to control how many customers can book per slot.

Minimum quantity per booking -  This is the the least number of people required to be booked in one booking transaction.
Maximum quantity per booking -  This is the maximum number of spaces that a person can book in one booking transaction.
Maximum capacity -  This is the number of people that the service can accommodate in a defined time-slot.




Private Group Bookings

  • Similar to single bookings in that only one booking per slot is allowed.

  • But the booking can include multiple participants, with quantity affecting cost.

  • Used for services like restaurant tables (e.g., 1 to 4 people per booking) or private car hires with limited passenger capacity.


Managing Resource Capacity for Private Group Bookings

Because participant numbers can vary in private group bookings, capacity must be managed separately on the resources linked to your service (such as vehicles or tables). To set this up, go to Settings > Resources > Settings, where you can define maximum availability for each resource.

This capacity not only controls availability but also helps determine the final cost of the booking, as pricing may vary based on the number of participants within the allowed capacity. Proper resource capacity management prevents overbooking and ensures accurate pricing and smooth operations.



Important Notes

Capacity: Single bookings are treated as capacity 1; once booked, no availability remains.

Usage: Private group bookings are less common and typically apply to special cases with resource capacities.

Common mistakes: Avoid using private group bookings unless necessary. Also, don’t set multi-booking services with capacity 1—that should be a single booking instead.


Troubleshooting & FAQs

Can I switch between single, multiple and private group bookings later?
It is technically possible to change the service allow type later, but it’s not recommended. Existing settings and bookings can make this complex, so it’s usually easier and cleaner to create a new service with the correct booking type.
How do I ensure bookings are charged correctly for private group bookings?

In private group bookings, the price is set per person or per quantity. For example, a booking for 2 people will cost half as much as a booking for 4 people. This pricing structure ensures customers are charged accurately based on the number of participants in their booking.

What if my private group booking has limited capacity?
Make sure the resources linked to the service (like vehicles or tables) have their own capacity set correctly to prevent overbooking and ensure smooth operations.
