How to Integrate Kovena as Your Payment Gateway

Integrating Kovena with Nabooki allows you to securely accept online payments from your customers during the booking process. Kovena allows you to create and link your account directly from within Nabooki. There's no need to register separately.

Kovena offers competitive merchant fees and multi-currency payment options to your customers, meaning that your customers can pay you in their local currency. Kovena currently offers your customers the choice of your local currency, Australian Dollars, New Zealand Dollars or Euros that can be selected by them at the Nabooki check-out. There is also the option to offer US Dollar payments if you undergo an additional onboarding process.

Follow the steps below to connect Kovena to your Nabooki account and activate online payments for your services.


Step 1: Start the Onboarding Process to Create Your Kovena Account

1️⃣ Log in to your Nabooki account
2️⃣ Navigate to Online Payments > Kovena

If you already have a Kovena account, you can choose Manual Setup and enter your details directly, including the accepted card types, gateway country, accepted currencies and your Kovena Merchant ID.

Please note that American Express (AMEX) is not available as an option under "Accepted Cards" unless you are located in the Americas.


Step 2: Complete the Activation Process

1️⃣Welcome: Review the introduction and benefits. Click on the "Let's Get Started" button

2️⃣Business DetailsProvide information including:
  • Administrative Contact

  • Business Name

  • Administrative Contact Email

  • Business Phone Number

  • Authorized Signatory

  • Other required fields

    Review the transaction fees, agree to the terms, and click
    Next.




3️⃣Payout Details: Enter your bank details:
  • Account Name

  • Account Number

  • Account Type

  • Routing Code

  • Payout Preferences

     Click
    Next to proceed.




Step 3: Custom 3DS Settings

Add a layer of security and reduce the risk of fraud during card-not-present transactions.

Configure your 3D Secure settings to enhance transaction security.

What is 3DS: is a security protocol designed to reduce fraud and provide an additional layer of authentication for online card transactions. When a cardholder makes an online purchase, they are prompted to verify their identity through a password, a one-time PIN, or biometric data (like fingerprints or facial recognition).

Choose your preferred settings:

• Apply 3DS to all transactions

• Apply 3DS under specified conditions

  1.       Apply 3DS for bookings made on the same day
  2.       Apply 3DS when the name on the card does not match the name of the guest
  3.       Apply 3DS for all international transactions
  4.       Apply 3DS for charges above this amount. Specify the amount

• Do not apply 3DS


Step 4: Complete Customer Verification

To ensure the security and legitimacy of all transactions, complete the Customer Verification process:

1️⃣ Add a Payment Method: In rare cases where chargebacks or refunds exceed disbursements, you can use your settlement account for direct debits or add a card as an alternative option.

2️⃣ Business Details: Provide your business registration details, including:
  • Business Name

  • Registration Number

  • Address

  • Upload the company registration certificate

3️⃣ Business Representative Details: Add details for beneficial owners or authorised executives and upload necessary identification documents.

4️⃣ Review and Submit: Ensure all details are correct and submit the form. You will receive a notification once the information is under review. The Kovena team will respond within 48 hours.

Notes

Your application should be approved within 2 business days where the documentation you have provided Kovena is compliant. Kovena will keep you up to date on the progress of the onboarding and advise you once this has been completed. Please contact support@kovena.com if you have concerns over the time frames.


Note that you will not be able to transact online until your Kovena account is approved. 


Once your application is approved, Kovena will advise you of the settlement terms and the payout time frames approved for your account. 


Step 5: Activate Online Payments for Your Services

After integrating Kovena, you need to activate online payments for each and every service to start accepting payments

1️⃣ Navigate to Inventory > Services.
2️⃣ Locate the service you wish to modify and click the ‘•••’ button, then select Edit.
3️⃣ Select the Booking Preferences tab and navigate to the Payment Settings section.
4️⃣ Under Require Online Paymentchoose one of the following options:
  1. Full Prepayment: Customers must pay the total amount at the time of booking.
  2. Partial PrepaymentCustomers are required to pay a deposit upfront, with the remaining balance due later.
5️⃣ If Partial Prepayment is selected, specify the deposit amount by choosing one of the following:
  1. 10%
  2. 25%
  3. 50%
6️⃣ Click Update to save your changes.

Step 6: Test Your Integration

Before going live, test the integration by making a low-cost booking as a customer. To save on fees, you can temporarily reduce the cost of the service.

Ensure that payments are processed correctly and funds are deposited into your Kovena account.

How long does it take for my Kovena application to be approved?
Your application is typically approved within 2 business days, provided that all submitted documentation meets compliance requirements. Kovena will keep you updated throughout the onboarding process and notify you once your account has been successfully activated.

Is there a setup fee to integrate Kovena?
No, there is no setup fee for integrating Kovena. However, standard transaction fees will apply based on your region and pricing agreement.
What cards are supported with Kovena?
Kovena supports major credit and debit cards, including Visa and Mastercard. American Express (AMEX) is not available as an option under "Accepted Cards" unless the business is located in the Americas.
Can I process refunds through Nabooki?
Yes, you can process refunds directly through Nabooki.
